Below is a summary of the main terms and conditions that apply to your booking. The LankaTourExperience (PVT), Ltd operates tours in Sri Lanka, and review these terms and conditions carefully as they entirely set out both ours and your obligations and rights under this agreement. We strongly recommend that you also read the Essential Trip Information relating to your trip before booking to ensure that you understand the itinerary, style, and physical demands of the tour you are undertaking.

Our Contract

All bookings are made with Lankatourexperience & Destinations.lk. By booking a tour with us, you agree to the booking term and conditions below. We will accept your booking on this basis. The services to be included in your package are those you find in your tour itinerary.

Passport LankaTourExperience

Passports

All travelers require a passport issued by their respective countries (valid for at least six months beyond the end of your holiday). Responsibility for documentation accuracy, passport validity and dispatch of documents rests with you. India Odyssey Tours accepts no liability for any failure in this respect. You must provide your full name on the passport; otherwise, we are not liable for any delays, transport failure.

Visas

All clients must obtain all necessary visas and relevant documentation prior to departure. Please note that Sri Lanka has introduced a new Visa regulation (Electronic Visa Authorization – ETA) that requires you to register on their special website www.eta.gov.lk before arrival.

Insurance LankaTourExperience

Travel Insurance

Travel insurance is compulsory for all LankaTourExperience travelers and should be taken out at the time of booking. Your travel insurance must provide cover against personal accident, death, medical expenses, and emergency repatriation. We also strongly recommend it covers cancellation, curtailment, personal liability, and loss of luggage and personal effects. You must provide proof of your on the first day of your tour, you will not be able to join the trip, and We can’t be held responsible if you travel without it.

LankaTourExperience (Pvt) Ltd is a registered travel company in Sri Lanka that cooperates with a local tour operator registered with the Sri Lanka Tourism Development Authority, the official organisation for tourism in Sri Lanka. LankaTourExperience (Pvt) Ltd plans, executes, and organises tours for guests and other travel partners. We commit to sustainable and responsible tourism and ensure our operations positively impact local communities and the environment. The phrase “LankaTourExperience (Pvt) Ltd” in these Booking Terms and Conditions refers to LankaTourExperience (Pvt) Ltd.

Confirmation of Booking

Your booking has been confirmed, and a contract exists when LankaTourExperience (Pvt) Ltd issues a written confirmation after receiving the appropriate deposit amount. Please check your confirmation carefully and immediately report any incorrect or incomplete information to the Tour Operator. Please ensure that names are exactly as stated in the relevant passport.

Payment Terms – Attention

Our contract with you is made when you confirm your holiday booking by making the requested payment. Please check that the details on the invoice are correct. If you cancel or alter you’re booking, later on, you may have to pay an amendment charge as per term and conditions,

Payment terms

If the payment was made using A 30% non-refundable deposit must be paid at the time of booking. A 70% interim payment may then is a necessity with the remaining 70% balance; due 60 days before the tour commencement date. If you book within three weeks or less of arrival, you must pay the full price at the time of booking. You may pay only by bank transfer. If for any reason we do not receive the balance on the due date, we reserve the right to cancel your booking and levy a cancellation charge as though there had been a cancellation by clause “Cancellation Policy” of these Term and conditions.

If tour commencement date less then 60 days 

If your tour commencement date less then 60 days; (or less for last-minute reservations). Moreover, If you book within 30 days of your tour’s start date; then the initial payment you have to pay within five (5) business days. If the payment is not processed within five (5) business days, from the date that You make the booking, Your booking will be cancelled automatically by our system as per term and conditions.

Cancellation Policy

Cancellation must be made in writing and sent by the tour leader. The removal will take effect from the day the company receives the written cancellation; written cancellations by email are acceptable.

Cancellation Policy for Special Offers
Well, cancellation made on special offers is could be non-refundable. Please check the offer details.

The Cancellation Policy for High Peak Period
Bookings made for or during the ‘High peak’ period (15th July to 31st August and 20th December
to 10th January) will be non-refundable.

Cancellation Policy for amended bookings
The cancellation policy will be applicable to the original date of arrival and not to the extended date of arrival. If the date of arrival is brought forward, the cancellation policy will be applicable to the
amended date of arrival.

Child Policy of LankaTourExperience own and operated properties

  • Children below 5 years– free of charge on existing bedding
  • Children between 6-12 years (up to maximum 02 children) sharing parents’ room- 50% on meal
    rates only on existing bedding

Date Changes

If you wish to change the date of reservation, it can be done so by sending a mail to us online rate for the alternate reservation date(s) is less than the first price, the excess money can be utilized against extra expenditure at the property during your stay. If the online rate for the alternate reservation date(s) is higher than the first price, the deference  must be paid by you before arrival. Date changes will be done subject to availability.

Book Now and Pay Later Program

Book Now and Pay Later Program is valid all year, except for the July 15August and December. if you have planned to visit Sri Lanka one of those months the deposit will be is to 60%. The cancellation will not refund the deposit.

Accommodations

Check-In/Check-Out Guidelines

A) Policy of Early Check-in

The room is available after 12:00h or 14:00h. If you would like an early check-in (allowed between 06:00h morning to 12:00h afternoon), we will make the arrangement with the hotel, but it will cost 50% of the room rate which should be borne by you.

B) Policy of Late Check-out

General check-out time is before 12:00h. If guests are willing to check out late, (after 12:00h but before 18:00h) an additional 50% of the relevant Room rate will be charged. When guests check out late (after 18:00h), 100% of the relevant room rate will be charged.

Accommodations Reserved By Us

‘LankaTourExperience (Pvt) Ltd’ will make sure to supply the agreed accommodation for the tour package preferred by the guest. We will provide the necessary details of the selected hotels in the tour package to the guests in advance. The guests have demanded a careful quality check of the selected hotels before confirming a booking. Once a booking is confirmed, we will proceed with the reservations at the hotels, and these cannot be changed under any circumstance before or after the guest’s arrival in Sri Lanka. However, the guests can request a hotel change only BEFORE 30 DAYS before arrival. If a guest seriously claims a hotel change, ‘LankaTourExperience (Pvt) Ltd’ will consider it and try our best to arrange another hotel with the same category. Still, the guests themselves will have to incur the costs assigned by the new hotels. It is important to note that specific nature and adventure excursions may involve travel to remote or underdeveloped destinations. In such instances, hotel accommodations that meet international tourist standards may not be available, and facilities may be essential. Sleeping huts and tents are typically straightforward and often do not include Western-style toilets or bathing facilities. In these locations, tour participants will be provided with the most suitable facilities accessible. Given that Sri Lanka is a tropical country, it is advisable to be aware that insects in accommodation are commonplace, particularly during the warmer months. By booking through our services, you implicitly accept these conditions.

Accommodations Reserved By You

If you are not interested in the hotels we have selected for you, you can use the booking engine to book your favourite hotel. LankaTourExperience (Pvt) Ltd will not be involved in the booking process or have any control over the property. If there are problems with the accommodation, such as inaccurate descriptions, poor conditions, or issues with the facilities, LankaTourExperience (Pvt) Ltd is not liable and cannot help you directly. If you have problems with your accommodation, please contact the property directly or seek help from local authorities or tourism boards. LankaTourExperience (Pvt) Ltd’s responsibility generally extends only to the services they provide, such as transport, tours, and activities, and not to the accommodation booked independently by the traveller. Once all hotel reservations have been completed, you must provide us with a comprehensive list of the booked hotels.

Driver/ guide’s accommodation.

If you plan to book accommodation, you must let the hotels know if they provide free driver/guide accommodation and meals for the driver/guide. Most hotels in Sri Lanka offer complimentary driver accommodation and meals as part of the package for guests using their services. If a hotel doesn’t provide free accommodation, you’ll likely need to cover your driver’s accommodation costs, which range from $15 to $20 per night. The price may vary depending on the hotels and the year’s season. If a hotel doesn’t offer driver accommodation, your driver can find affordable local accommodation nearby. So that you know, the associated expenses will be your responsibility.

Meals

The tour package quote may encompass accommodation with breakfast or as detailed in each tour program. Meal arrangements will follow a set menu or be served buffet style. During the tour, stops will be made at recommended restaurants for lunch, with payments made directly by the client. Certain beach resorts and hotels offer accommodations on an all-inclusive basis, covering breakfast, lunch, dinner, and local liquor and beer. However, please remember that these hotels typically require a minimum stay of at least 7 days. For Ayurveda packages, meals will consist of traditional Sri Lankan dishes, with the menu tailored to your body constitution by your Ayurveda doctor. Generally, exclusive Ayurveda resorts do not serve meat or alcohol.

Dietary Requirements

Special dietary requests must be notified to us within 7 days after we confirm your booking. We will endeavour to communicate your requirements to relevant suppliers. However, we cannot guarantee that suppliers will meet your requests. It is your responsibility to check that meals and beverages do not contain allergens. We expressly disclaim any liability for meals or beverages that contain allergens other than in circumstances where we have been negligent.

Recommendations

LankaTourExperience (Pvt) Ltd advises guests to buy site tickets directly at the locations. Please note that most sites do not accept credit cards, so having cash is essential. For currency exchange consultants, your driver/ guide.

FOR TOURS, INCLUDING TRAIN TICKETS:
We always do our best to get the best available tickets when booking (availability 30 days before the train schedule). If you have any request regarding what class ticket you would prefer (1. / 2. / 3. ), please mention it in the REQUEST section of your booking. LankaTourExperience (Pvt) Ltd can not guarantee what class ticket will be booked; it is only with a reserved seat. Only if we can not find any train tickets with seat reservations will you get a refund based on the value of the train ticket. 

ITINERARY CHANGES REQUESTED BY YOU

We always aim to offer clients flexible itineraries. Once the tour is finalized and agreed by both parties, requests for changes to a group or individual the tour will always be considered, but they may incur cancellation and additional charges, and these are strictly subject to availability and the type of ultimate product suppliers (Entrance fees and All activity fees, hotels, etc.). 

ITINERARY CHANGES MADE BY US

LankaTourExperience (Pvt) Ltd is committed to the highest levels of integrity and professionalism in ensuring you have an enjoyable tour. However, there may be instances where adjustments to your itinerary need to be made due to exigent circumstances and flight schedules. This could be an event under exceptional circumstances (e.g., hotel overbooking) that requires immediate action from our end to ensure your tour continues with minimal disruption. Under such circumstances, we reserve the right to provide alternate accommodation to best suit the situation.

Liability for Third-Party Services - RESPONSIBILITY

Services supplied by independent suppliers

Excursions or other tours you choose to book or pay for while on holiday are not included in your package holiday provided by us. For any excursion or tour you book, airlines, railway and cruise operators, hoteliers, or independent transport companies (i.e., vehicles not operated by us), your contract will be with the operator of the excursion, not with us. Suppose you decide to use any third-party service provider during the tour. In that case, it is entirely your responsibility, and LankaTourExperience (Pvt) Ltd is not liable for any charges or fees incurred. We are not responsible for the provision of excursions or tours or for anything that occurs during their provision by the operator.

To the fullest extent allowed by law, we are not responsible for any loss, delays, damage, personal injury, illness or death caused by the actions or omissions of an Independent Supplier as long as these issues are not due to our negligence. Any claims related to this matter must be directed to the Independent Supplier.

NOTE: WE DO NOT ACCEPT LIABILITY FOR OUR SUPPLIERS’ NEGLIGENCE IN ACCOMMODATION-ONLY BOOKINGS.

Excursions

Excursions or other tours you may choose to book or pay for whilst on holiday are not part of your package holiday provided by us. For any excursion or other tours you book, your contract will be with the operator of the excursion or not with us. We are not responsible for the provision of the excursion or tours or for anything that happens during the course of its provision by the operator.

Breakages and Damages

You will be responsible for any breakages, losses or damage caused by you or a member of your party during your stay in the accommodation. It is your responsibility to put right the damage or to make full payment to the hotel before departure and to indemnify us against any losses, damages or claims made against us.

Personal Loss, Injury, and Illness

(Not related to the arrangements made by us)
If you or any member of your group experiences loss (such as baggage or valuables), serious illness, personal injury, or death during your holiday, we or our designated representatives will provide compassionate advice and guidance at our discretion.

THIS MUST BE CARRIED OUT IN CONJUNCTION WITH YOUR TRAVEL INSURANCE POLICY.

FORCE MAJEURE

The Tour Operator will not be liable in any way for death, bodily injury, illness, damage, delay or other loss or detriment to person or property, or financial costs both direct and indirect incurred, or for the Tour Operator failure to commence, perform or complete any duty owed to you if such death, delay, bodily injury (including emotional distress or injury), illness, damage or other loss or detriment to person or property is caused by Act of God, war or war like operations, mechanical breakdowns, terrorist activities or threat thereof, civil commotions, labor difficulties, interference by authorities, political disturbance, howsoever and where so ever any of the same may arise or be caused, riot, insurrection and government restraint, fire, extreme weather or any other cause whatsoever beyond the reasonable control of the Tour Operator; or an event which the Tour Operator or the Third Party Supplier of services, even with all due care, could not foresee any and all of which, individually and collectively, constitute “Force Majeure”.

INDEPENDENT TRAVEL

In the event of an itinerary only part-booked by the company, we cannot be held responsible for the failure of any component of the holiday for which we do not have direct responsibility. This includes any difficulty in finding accommodation or collecting train tickets purchased by us if customers choose to book accommodation-only deals and arrange their transport.

Additional tour features

Additional tour features that are not included in the base tour price, such as lunch, activities, or Attractions, will be listed on the booking process. At step 3 on the Payment page, select the ones you’d like to include. 

Behaviour

You must not behave in a way which may cause distress or annoyance to others or which may create the risk of danger or damage to property. If you are subject to arrest or are prevented from traveling at the discretion of an airline or other transport providers, or if you are evicted from a hotel at the discretion of the hotel management, we will not refund any portion of the cost of your holiday and, if we incur any expense as a result of your behavior, you will be obliged to compensate us for that expense.

Group Departures

Our group tours are guaranteed to depart once they have one fully-paid traveler. Please contact us for group departures under info@lankatourexperience.com. If you would like to know how many people have booked on your tour, please ask before making your booking.

FLIGHT TIMES AND OTHER ESSENTIALS

Check your flight times on receipt of your tickets carefully. Minor adjustments to flight times may be made by the airline after the issue of our Travel Voucher. We do not accept responsibility for these. You should also ensure that your travel documents, passports, visas, driving licence, insurance details and moneys are in order. 

Photos and Marketing

You consent to us using images of you taken during the tour for advertising and promotional purposes in any medium we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes. If you wish not to do so, please inform us before your departure, and we will respect your wish.

Claims & Complaints

If you have a complaint about your trip, please inform your guide at the time so that they can attempt to rectify the matter. If satisfaction if not reached through these means, then any further complaint should be put in writing immediately.

Additional Activities

Optional activities are not included in the tour price and are not part of our contract. You accept that any assistance given by your guide in arranging optional activities does not render us liable for them in any way. The contract for the provision of that activity will be between you and the activity provider.

Problems

If you have a problem during your holiday, please inform the relevant organizer (Your guide/camp/hotel manager/Safari guide) immediately, and he will endeavor to put things right. If your problem cannot be resolved, you need to contact the LankaTourExperience, so that we have the opportunity to investigate and rectify the problem.

Age & Health Requirements

All outdoor activity, including Safari, Treks, children should be accompanied by an adult responsible for the child’s days o daycare.

Flexibility

The itinerary provided for each tour is representative of the types of activities contemplated but it is understood that the route, schedules, itineraries, amenities and mode of transport may be subject to alteration without prior notice due to local circumstances or events.

Smoking

Smoking is strictly prohibited in the vehicle, within Nature Reserves & sacred places. However, regular comfort stops are made on traveling days during tour.

Shopping

Lanka tour experience does not endorse any shops nor do we have any association with their operators. Lanka tour experience do not accept any responsibility for quality, value, reliability or authenticity of any goods that you may purchase while on tour, nor is 

Lanka tour experience liable in any way whatsoever for any arrangement you may make to post, courier, and freight or ship such purchases.

Age, fitness, and health.

Insurance

Every holidaymaker, without exception, must have valid travel insurance, and the details of the policy must be provided before travel. Individuals must ensure that this travel insurance provides acceptable coverage for the type of holiday undertaken.

  • Mandatory Travel Insurance: All travellers must present valid insurance documentation prior to departure to ensure a safe and worry-free journey.

Required Medical Information

Before your departure, consult your doctor about recommended vaccinations (like typhoid, hepatitis A, and Japanese encephalitis), consider travel-related health risks like dengue fever and malaria, take necessary precautions against mosquito bites, and practice food and water safety.

You are responsible for deciding whether a Tour is good for you. It’s wise to consult your doctor to confirm your fitness for travel and participation in any planned activities. Additionally, discuss any necessary vaccinations and medical precautions with your physician. LankaTourExperience (Pvt) Ltd and its suppliers do not provide medical advice. You must evaluate the risks and requirements of each aspect of the Tour, considering your personal circumstances, limitations, fitness level, and medical needs.

  • Mandatory Travel Insurance: Every traveller must provide proof of valid insurance before departure.
  • Health Precautions: Consult your doctor about vaccinations and health advice at least a month before your trip

Age & Fitness

We want to ensure that you or anyone in your booking party enjoy their holiday to the fullest. To help ascertain if a tour or tailormade itinerary is suitable, clients who fall into the following criteria must complete our Tour Suitability Form. Where considered necessary, upgrades or conditions may apply due to participation requirements, or we may be able to provide the holiday on a private basis (supplements apply).

a) We should be aware of any persons with pre-existing medical conditions, anyone who requires regular care by a doctor, or any person with medical or other circumstances. If you need to provide us with additional details, don’t hesitate to contact the tour consultant.

b) All persons aged 70 or over by the tour start date. We may ask for more information or a signed Medical exemption certificate from your doctor confirming that you can take care of your chosen tour. Where you do not do so and either have no permission to enter any country or suffer personal injury or death. As a result, we don’t have any liability to you for any cost, loss or damage you incur, nor will we refund you the cost of any unused portion of your travel arrangements.

c) Pregnancy is considered a medical condition and must be disclosed to the Tour Operator when booking. The Tour Operator may refuse to carry women who are over 24 weeks pregnant or anyone with certain medical conditions if reasonable accommodation or alternatives cannot be arranged.

Under 18's Traveling Without Parents

When travelling to Sri Lanka, minors under 18 typically need a valid passport and must be accompanied by a parent or legal guardian. If they are travelling alone, they will require travel clearance. We are happy to assist with transporting minors aged 16 and older.

Our priority is ensuring safe travel for minors, so we usually do not arrange travel for unaccompanied minors under 18. However, we can facilitate transport within Sri Lanka for those aged 16 and up, provided they have the necessary documentation. This includes signed letters from both a parent or legal guardian and the appointed recipient granting permission for the transport. In these cases, a customer care team member may accompany the minor during their journey.

 

Child-Specific Responsibilities

We will not be responsible for the care or supervision of your children.
Client (You) are responsible for ensuring care for your child or children throughout their holiday with us. This includes providing daily attention and supervision to ensure their safety in everyday care. All minor travellers must be accompanied by an adult who will supervise their needs and activities during the vacation.
